Strategic Volunteer Recruitment: High-Conversion Tabling Systems

What We Did:

Stage 1: Needs Analysis

I started by interviewing the Board to understand specific goals. Then, I shadowed tabling events to see where the gap was between organizational goals and what was happening at the events. Additionally, I spoke with current volunteers and potential leads to understand why they joined. I learned that our USP was building a like-minded community, but we did not have anything on our table highlighting that.

This helped me identify the most important talking points so our volunteers could speak confidently about our different programs and connect potential volunteers with the best fit.

About the Project:

Objective: Improve the volunteer recruitment tabling process for the Cape Fear Surfrider Chapter. The goal was to increase foot traffic, social media followers, and newsletter subscribers for a coastal-protection nonprofit at local music events.  

Stage 2: Designing the Table

I got approval from stakeholders to redesign our tabling setup. The new table featured framed photos from various events that showcased our community's USP. These included photos from beach cleanups, after events, and our volunteer appreciation award. 

To increase foot traffic, I added interactive elements for drawing, crafting, and writing about their personal connection to the ocean. Not only did this help activate their compassion for the ocean, but it also increased our foot traffic by 60% between concerts. 

Additionally, I added our social media handle to the back of all of the stickers we hand out for free, which increased on-the-spot follow rates and further promoted brand recognition. 

To grow our newsletter list, I coordinated with our Communications Coordinator to host a T-shirt raffle. To enter the raffle, in-person leads could sign up for our monthly newsletter with their name and email.

Stage 3 Content Development

I wrote the copy for and designed a simple one-pager that highlighted the community's USP and gave easy CTAs to follow. Additionally, I provided a strategic job aid for volunteers tabling at events, with direct QR codes and key information about each of our programs in case a potential lead wanted to learn more.

Results:

Over the course of several summer concerts, I collected data on foot traffic and the number of in-person donations and newsletter sign-ups. We saw a 60% increase in foot traffic, a 150% increase in in-person donations, and a 650% increase in newsletter opt-ins.
